1. Who can use the app

The app is for staff of clinics registered on Licit Note. A clinic administrator approves every account before it can see patient information. The details you give us must be accurate.

2. Your account

Your account is for you alone. Keep your password private and don’t let anyone else use your account. Everything done in the app is recorded against the account that did it, so anything done while signed in to your account is treated as done by you.

If you think someone else has used your account, change your password and tell us at support@licitnote.com.

3. Registering patients

Register only patients who are at your clinic for a visit, and enter their details exactly as they appear on their identity document. Make sure patients know why their details are recorded, in line with your clinic’s privacy notice.

4. Patient information

Use patient information only for the patient’s visit and the clinic’s records. Handle it in line with POPIA and your clinic’s policies, and don’t copy it out of the app except as your work requires. The Privacy Policy explains what the app records and who can see it.

5. Doctor’s notes

Only doctors can issue, reissue, or revoke a note, from the Licit Note doctor app. Anyone with a note’s QR code or link can check it on licitnote.com.

6. Clinic administrators

If you are a clinic administrator, approve only staff and doctors who work at your clinic. When someone leaves, tell us at support@licitnote.com so we can remove their access.

7. What you must not do

  • Register a person who isn’t a patient, or enter false details.
  • Try to see information you aren’t allowed to see, or get around the app’s security.
  • Interfere with the service, or copy, change, or take apart the app.
  • Use the app for anything unlawful.

8. Availability

We work to keep Licit Note available, but it may be interrupted for maintenance, updates, or reasons outside our control. The app needs an internet connection.

9. Suspending or closing an account

We may suspend or close an account that breaks these terms, or at the request of the clinic. Records the app has made, including the activity record and issued notes, are kept after an account closes.

We check every new clinic before its staff can use Licit Note, and we may suspend a clinic, for all of its staff, if it breaks these terms or its registration can’t be confirmed. Notes it has issued stay verifiable while it is suspended.

10. Ownership

The app and the Licit Note name and logo belong to Permason Technologies. We give you a right to use the app for your clinic’s work, which you can’t transfer to anyone else.

11. Liability

As far as the law allows, the app is provided as it is. We aren’t liable for indirect or consequential loss, for incorrect information entered by you or your clinic, or for events outside our reasonable control. Nothing in these terms limits rights you have by law that can’t be limited.

12. Changes to these terms

We may update these terms. We will change the date at the top and tell you in the app before significant changes take effect. If you keep using the app after that, you accept the updated terms.

13. Governing law

These terms are governed by the law of the Republic of South Africa.
